ADVANCED SETUP –  FINANCE AND PAYMENTS

Overview

Contract-Q makes it easy to manage your financial data by integrating directly with QuickBooks and Stripe. You can track expenses, get paid faster, and ensure everything stays in sync—without double entry or scattered records.

This section covers three main areas:

  1. QuickBooks Integration
  2. Stripe Online Payments
  3. Expense Categories & Chart of Accounts

1. QuickBooks Integration

Contract-Q connects directly to your QuickBooks Online account, keeping your financial records in sync and up to date. This is a one-way sync from Contract-Q to QuickBooks, which means Contract-Q is your source of truth for job-level financial tracking.

Here’s what’s included:

  • Customer Sync – When a job is marked Job Awarded, the customer record is automatically created in QuickBooks.
  • Expense Sync – Any expense logged within the job in Contract-Q will also be pushed to QuickBooks, including the category and job reference.
  • Invoice Sync – When you create an invoice in Contract-Q, it will automatically appear in QuickBooks with all relevant details.
  • Payment Sync – When a payment is received or the invoice is marked as paid in Contract-Q, the payment status will update in QuickBooks as well.

Note: Updates flow one way—from Contract-Q into QuickBooks. Changes made in QuickBooks will not reflect back into Contract-Q.

You can manage this connection at any time from Settings > Finance and Payments, where you’ll see connection status and a Configure option.

2. Stripe Online Payments

If you'd like to accept online payments and include a payment link on your invoices, you can connect a free Stripe account to Contract-Q.

Once connected:

  • A "Pay Now" button will appear on invoices you send your clients through Contract-Q
  • Payments made through Stripe will be automatically tracked back to the job
  • You can view payment status and dates directly in the job’s Finance section

To get started, simply click Connect Stripe and follow the guided setup to link your existing account or create a new one.

Stripe charges standard processing fees. Visit stripe.com for the most up-to-date rates.

3. Expense Categories & Chart of Accounts

If you’ve already set up your Chart of Accounts and Expense Categories in QuickBooks, you don’t need to recreate them manually in Contract-Q.

Instead, you can import them directly into Contract-Q with a single click.

From Settings > Finance and Payments, you can:

  • Click Add/Manage Expense Categories to view and import your expense tracking structure
  • Click Add/Manage Products and Services to sync your item list from QuickBooks into Contract-Q

This ensures everything lines up between systems—and gives your team the tools they need to track costs and services accurately from the job level.

That’s it! With QuickBooks and Stripe connected, and your categories synced, you’re set up for smooth financial operations inside Contract-Q.
